Coordinator - Event & Guest Services
Responsible for all aspects of event services coordination for clients reserving/renting space through the Event & Guest Services Office in the Adele H. Stamp Student Union – Center for Campus Life. This position makes procedural and operating decisions based on independent judgment and knowledge of applicable departmental policies and procedures, and in coordination with other university service providers. The position will require some early morning, evening, and weekend work hours.
Essential Duties & Responsibilities:
· Manage all facets of event services for student organizations, departmental and non-university client events. This includes meeting with clients to discuss and arrange details of event planning. Provide detailed facility diagrams; coordinate with other university service providers. Will require some after-hours meetings.
· On-site liaison, representing Event Services at events to interact with clients. Coordinate with other service providers to address all on-site changes or additional accommodations that need attention while events are taking place. On-site liaison work requires non-regular working hours at times (early & evening hours, weekends).
· Meet regularly with university service providers to review all aspects of upcoming events and evaluate concluded activities.
· Develop and implement marketing strategies designed to encourage increased Stamp rental.
· Supervise Event Assistants for the purpose of supporting authorized events. Assist with the supervision of student employees.
Minimum Qualifications:
Bachelor’s degree and a minimum of two years of professional experience with event coordination and/or conference management are required; or an equivalent combination of education and additional years of related professional experience. Must display exemplary customer service and leadership skills; be able to successfully function within a fast paced and team oriented environment; be organized with an attention to details; have supervisory experience; be able to work with minimal supervision; have practical work experience with event management and room diagramming software, and general business office software applications.
Preferred Qualifications:
A degree in event management or related certifications is preferred. Must be able to manage office operations using networked computers and other automated office electronics, and multi-line phones. Experience with event management software programs such as EMS and Social Tables is preferred.
Must exhibit excellent written and verbal communication skills; be able to successfully interact with a diverse clientele, and be successful in a fast-paced and team oriented work atmosphere in a courteous and efficient manner.
