Education Requirements: Bachelors/Associate’s Degree preferred.
10 years of experience in supporting sales and executive team members in a fast paced office setting within the on-site services market, preferably in the mail and logistics arena is acceptable in lieu of a Bachelor’s degree.
Technical Skills: Proficient in MS Office, including Word, Excel, PowerPoint.
MS Project and Visio a plus.
Must be fluent in English and able to lift 50 pounds.
Must be an solid writer. Valid writing samples must be provided.
Work Hours: Monday through Friday, 8:30 AM – 5:00 PM; additional hours may be required based in deadlines and workload fluctuations.
Travel Requirements: At the present time, no travel is expected. As the position expands, travel, both local and outside of the area, may be required from time to time.
Monitor and set up alerts on public procurement websites.
Download and distribute request for proposal documentation to marketing and operational stakeholders.
Respond to requests for business sources that are interested in participating in future procurement opportunities.
Follow up on existing or previous announcements to gain additional information on procurement schedules and anticipated release dates.
Market to new business sectors via telephone and email.
Maintain corporate Project References repository and update annually to ensure accuracy; coordinate updates with Operations Team as the associated scope of work requirements are modified.
Maintain resume bank for proposal use.
Screen and vet incoming resumes in response to posted ads for contract labor resources.
Establish and maintain employee skills database.
Assist with proposal response development, including light to moderate editing, binder preparation, presentation layout and meeting preparation.
Source, select, and secure pricing for contract related equipment and supplies.
Create and maintain vendor pricing library.
Prepare and distribute marketing information letters to prospective clients based on public news announcements.
Create, maintain, and update partner database; perform teaming partner outreach and arrange for information meetings with Operations and divisional Proposal Development professionals.
Prepare and execute Non-Disclosure Agreements.
Provide administrative support to maintain corporate safety database; monitor certification renewals and expirations.
Coordinate the set-up of client dashboard portals for on-line reporting.
Research national wage levels and maintain database for ease of use in pricing proposal preparation.
Develop and implement customer feedback system to gather performance feedback.
